You have SO much going on in your business, run two or three different schedules AND want to stay on top of your work, and the work for your own business. You have a to-do list a mile long and want to be more PRODUCTIVE.

3:28 Use your calendar for everything. If it’s not on your calendar, then it’s not important so put everything on there. Google calendar integrates with everything. If you’re a paper and pen person, that’s awesome. Just make sure you’ve got everything on your calendar.

4:41 When you’re scheduling your week, make sure you schedule some white space for the things that happen to come up and the fires that need to get put out.

5:11 Being mindful of the way you schedule and starting the habit of putting everything on the calendar, you’ll be aware of how much you get done in a day or week. You have a lot going on and a lot of schedules you’re managing. You only have 24 hours in the day. Getting mindful of that allows space for yourself.

6:12 Time blocking. Pomodoro method is 50 minutes to do a task and then 10 minutes to create space, take a walk, get a drink of water and go back to your work. Your tasks will expand to the time you allow it. If you give yourself boundaries, you’ll be more aware of the time you use.

7:43 I like time blocking or time chunking for things that take you longer. When you’re scheduling out your week, you know the length of time something takes you, then you give yourself time to do that task.

8:53 Another way to use time blocks is to batch things that are similar in what you need to do. If it makes more sense to batch things, then put them together in one day or one block and chunk it together for the week or month, then it’s done.

10:10 When we multitask, it’s not as effective. You can never really focus on more than one thing at a time. Our brains have to switch focus and catch up. When you add up those seconds that you’re losing in productivity time because you’re switching gears so many times, it takes mental energy. When you multitask, it takes a mental toll. How do you keep that mental energy? You stay hyper-focused and become intentional about your tasks.

14:09 Create boundaries for your intentional time. Set an autoresponder on your email letting people know what to expect. If you’ve got office hours and allow others to know when you’re working, then reiterate how and when you will communicate with clients so they know when they can get in touch with you.

16:08 Know that you don’t have to have it all set out straight away. Do one week and then you’ll know how it goes and you can adjust the next week.

17:03 If you aren’t using something like Calendly or Acuity (my fave) to schedule with clients or set up coffee chats with others, it makes the whole scheduling thing that much easier. It gives you full control of your calendar.
